Operations Coordinator

Primary Responsibilities

  • Ensure general management of the office, overseeing operational efficiency, effective communications, and other types of strategic and tactical planning
  • Maintain facilities management, vendor contracts and relations, and facilitation of all office functions and services
  • Schedule and track meetings and appointments for the organization
  • Update spreadsheets, databases, and documents used by the organization for accounting, partnerships, and other necessary purposes
  • Grow the efficiency of existing organizational processes and procedures to enhance and sustain the organization’s internal capacity
  • Ensure operational activities remain on time and within a defined budget
  • Maintain consistent communication with management, colleagues, and vendors to ensure proper operations of the organization
  • Manage timely data collection to achieve organizational goals and targets, and deliver excellent customer service
  • Lead research and analysis projects as needed

Qualifications

  • Ideally, 2 years of work experience in business operations or administrative support role
  • Experience working with management and within a team environment to develop and improve internal processes, manage projects and ensure all organization deadlines are met
  • Excellent organizational, communication, and writing skills
  • Experience working directly with diverse populations
  • Ability to work well under pressure and manage confidential subjects with tact and kindness
  • Proficient in Microsoft Office Suite or related writing and presentation software required. Experience using a CRM system highly preferred.

Non-Profit Finance Director

TechBuffalo is hiring a Finance Director to fill a key leadership role within our organization, with principal responsibility for maintaining an accurate and organized financial management system. This team member will work with the organization’s leadership to drive financial decisions in a direction that ensures good, long-term financial health. The team member will also work collaboratively with the growing TechBuffalo team to work efficiently on grant and program development, implementation, and evaluation.

Primary Responsibilities:

· Lead the annual budgeting and planning process

· Develop and clearly communicate financial reports in an accurate and timely manner with the CEO, board treasurer and board finance committee

· Oversee financial, grant, and project accounting including grant and project performance and variance analysis

· Manage the accounting and bookkeeping process, including cash receipts and disbursements, accounts receivable and payable, fixed assets, banking, and fund balances

· Implement a robust grant management process

· Ensure that financial data and cash flow are steady and support operational requirements

· Lead the annual audit process, including liaison with auditor and audit committee

· Maintain corporate records and meet all state and federal legal requirements

· Oversee risk management through internal controls, document evaluation including review of contracts, leases, and records maintenance

· Liaise directly with the finance committee

· Support grant development strategic planning and annual work plan development as needed

· Maintain appropriate, affordable insurance for business, directors, and staff

Job Requirements


· Relevant previous experience in nonprofit finance and operations including financial grant management and/or project budgeting

· Undergraduate degree in Finance, Accounting, Non-Profit Management, or related field is preferred.

· Familiarity with accounting software (e.g., QuickBooks and Bill.com)

· Ability to work independently with a high level of accountability and attention to detail

· Strong interpersonal skills, diplomatic management of multiple stakeholders, and written and oral communication skills.

· High attention to detail and suburb follow through.

· A commitment to collaboration, continuous learning, innovation, and creativity
